Daily Controlled Substance Count

How to do your end-of-day medication count in under five minutes.

5:00How-To GuideWritten for: Pharmacy and vet techs

What you will learn

  • Complete a daily controlled substance reconciliation
  • Document any discrepancies properly

Open the controlled substance screen

Go to Inventory, then Controlled Substances. You will see a list of every controlled medication with the expected count (what VetOS thinks you should have) next to a field for the actual count (what is on your shelf).

Count and compare

For each medication, count what is physically there and enter the number. If it matches, great — move to the next one. If it does not match, VetOS will ask you to add a note explaining why (common reasons: breakage, spillage, or a recording error from earlier in the day).

When everything is entered, click Reconcile. VetOS saves a permanent record of this count that you can pull up anytime — even years later.

Checklist

  • Open Inventory > Controlled Substances
  • Count each medication on the shelf
  • Enter actual count next to expected count
