What your implementation team handles
Your VetOS implementation team takes care of all the technical setup. They will configure your clinic profile (name, address, phone, logo), set up staff accounts with the right roles and permissions, and connect your lab equipment, printers, and payment devices.
If you are migrating from another system (like Cornerstone, AVImark, eVetPractice, or another EHR), the implementation team handles the data transfer. They will move your patient records, owner information, and medical history into VetOS so you do not start from scratch.
You do not need to install anything yourself. If you want the optional desktop app (which gives you slightly faster startup and deeper hardware integration), the team will install it on your clinic computers for you.
What to have ready for your implementation team
The more information you gather in advance, the faster the setup goes. Here is everything they will ask for:
First, your clinic information: official name (as it appears on invoices and prescriptions), street address, phone number, fax number if you have one, website URL, and your clinic logo (any image format works).
Second, your staff list. For each staff member, provide their full name, email address, and role. Roles matter because they determine what each person can see and do. For example, a receptionist can check in patients and schedule appointments but cannot prescribe medications. A veterinarian can do everything. Your implementation team will walk you through the permission levels.
Third, if you are migrating from another system, gather your login credentials and any export files from the old system. Let the implementation team know which system you are coming from — they have migration playbooks for most major veterinary platforms.
- Clinic name, address, phone, fax, website, and logo

Setting up staff accounts and permissions
Every person who uses VetOS gets their own account with their own login. There are no shared logins — this is important because VetOS tracks who does what. When a vet records a prescription or a tech records vitals, the system knows exactly who did it and when.
Permissions are based on roles. Receptionists can manage appointments and client information. Vet techs can record vitals, manage inventory, and view records. Veterinarians have full clinical access including prescribing and signing off on records. Practice owners and managers have access to billing, reports, and administrative settings. You can customize these roles to fit your practice.
Your first day and the onboarding wizard
On day one, open VetOS in your browser (or the desktop app) and log in. Your clinic info, staff accounts, and any migrated data will already be there.
New users see an Onboarding Wizard that walks through the most important screens in about 5 minutes. It highlights the sidebar, shows you how to navigate, and lets you try key actions in a guided way. After the wizard, there is also a Guided Tour feature that adds helpful tooltips to each screen as you use it for the first time.
The built-in Training Center (in the sidebar under Learn) has searchable articles and tutorials for every feature. You can also press Shift+? at any time to open a context-sensitive help widget that shows tips relevant to the screen you are on.
Start with a few test appointments and patients to get comfortable. When you are confident, start seeing real patients. Your implementation team is available by phone and email during the first week for any questions.
