Customizing VetOS for Your Clinic
Make VetOS work the way your clinic works — not the other way around.
What you will learn
- •Know the full range of what can be customized: appointment types, safety checks, billing rules, forms, and more
- •Understand how to request a change and what the process looks like
- •Feel confident that customization never weakens safety or data integrity
- •See examples of real customizations other practices have requested
Appointment types and scheduling rules
Every clinic has different kinds of visits. VetOS comes with standard appointment types (Wellness Checkup, Vaccination, Surgery, Dental, Emergency, Follow-up), but you can add your own. Maybe you need a "Behavioral Consultation" type that blocks out 90 minutes, or a "Laser Therapy" type that reserves a specific room.
You can also set scheduling rules: minimum notice for certain appointment types, maximum appointments per time slot, blackout dates, and automatic confirmations. These rules are enforced in the Schedule screen (Alt+S) so your staff does not have to remember them.
Safety checks and approval requirements
VetOS comes with standard safety checks (see the Built-In Safety Checks guide for details), but you can add custom ones. Real examples from other practices:
"Require a weight check within the last 30 days before any anesthesia event." "Require two staff signatures for controlled substance waste over 50 units." "Block scheduling of surgeries on Sundays unless a practice manager overrides." "Require a dental radiograph on file before any dental extraction procedure." "Send an automatic alert to the practice owner if a Break-Glass override is used."
Each custom rule is described in plain language, configured by your VetOS support team, tested with sample scenarios, and turned on only after you approve. Rules can be adjusted or turned off at any time.
Billing, inventory, and document templates
Billing can be customized with your own service codes, pricing tiers, tax rates, and payment plans. The Billing screen (Alt+B) has tabs for Invoices, Payments, Reconciliation, Financial Reports, Monthly Statements, and Financial Assistance — each of these can be configured for your practice's workflow.
Inventory categories can be customized beyond the defaults (Medications, Vaccines, Supplies, Equipment). You can set custom reorder points, preferred suppliers, and automatic low-stock alerts.
Document templates (under Records > Documents in the sidebar) can be customized for your clinic's branding and layout. Discharge summaries, vaccination certificates, prescription labels, and invoices can all include your logo, clinic info, and any custom language you need.
The golden rule of customization
Custom rules add new steps on top of the existing system. They never remove built-in safety checks, never change how your records are stored, and never weaken the audit trail. Your data integrity stays exactly the same no matter how many custom workflows you add.
Think of it like adding speed bumps to a parking lot. The speed bumps are new, but the lot itself is unchanged. You can always remove a speed bump later if it turns out to be unnecessary.
